The following guidelines illustrate how to correctly address the letters and packages you need to send to the UK and the US.
General advice
The UK and US postal delivery services rely heavily on automation to scan the delivery address and to route letters and packages to local distribution centres. If you don't address your items with this in mind, they may need to be manually processed. This can significantly delay delivery. The following advice applies to mail you wish to send to both countries:
- The return address should be placed in the upper left corner of the letter or package.
- The delivery address or label should be centred horizontally and offset slightly below centre vertically on the envelope or package. The delivery address text should run parallel to the longest side of the package.
- The house number should be placed before the street name.
- Do not abbreviate the city name.
- Always include the postcode or ZIP code and do not remove any spaces or hyphens from it.
- The address should always be printed in a white region or on a white label.
- For best results, the entire address should be clearly printed in capital letters.
- Do not use commas or full stops anywhere in the address. If street names are abbreviated ( BLVD, AVE ), the abbreviations should be used without full stops.
UK postal service advice
In addition to the general advice, the rules below should be followed
when sending letters and packages to addresses in the UK:
- You do not need to include the name of the county or locality if the town and postcode are used.
- The town and postcode should be in capital letters on separate lines.
- The country UNITED KINGDOM should be on the last line.
North American postal service advice
In addition to the general advice, the rules below should be followed when sending letters and packages to addresses in the US and Canada:
- Use state/province abbreviations to speed delivery. A complete table of Canadian provinces and US states can be found at:

- The ZIP code ( US ) or postal code ( Canada ) should follow the state/province abbreviation on the same line. Place it two spaces to the right of the state/province abbreviation. Note that Canadian postal codes look like British postcodes, and not like US ZIP codes. You can look up Canadian postal codes here: www.canadapost.ca/tools/pcl/bin/advanced-e.asp
- In the US, a free, extended routing system known as ZIP+4 can speed delivery by as much as 2-3 days. For best results, get in the habit of using the full ZIP+4 code for every item you mail. You can look these codes up at:

- Use monospaced fonts like Courier, Courier New, Letter Gothic, Elite and OCR B to ensure error-free scanning of your address.
- The country name should appear on the last line in full caps.
- Don?t forget to affix a customs declaration for packages.
- Important! Keep the lower right edge of envelopes free from any printing or symbols.
Useful mail terminology
Bill of lading: A document issued by a ship owner to the sender of goods. It contains the terms and conditions of the shipping contract.
Parcel: Mail that is shipped in a container such as a carton or box.
Restricted delivery: A service that restricts the delivery of a letter or package to a specific individual. ( Eigenhandig International )
Delivery confirmation: A service that provides information to the sender about the date and time of delivery, including the recipient's signature. ( Einschreiben International )
Return receipt: A service that automatically results in the return of a written confirmation containing the recipient's signature and a notation of the delivery date and time to you via Post. The return receipt constitutes legal proof of delivery.( Rückschein International )
Cash on delivery: A service that requires the recipient to pay for your letter or package upon accepting it from the postal service. ( Nachnahme International )
Priority mail: A service that accelerates the delivery of your item by giving it priority placement in the shipping process. ( Eil International )
Tracking: The maintenance of records concerning various aspects of a mailing, especially its routing and current location. Applies most often to express shipments.
Jiffy bag ( UK ): A term used to refer to a corrugated, padded or bubble bag used to mail an article that needs protection, such as a CD.
Lettershop ( UK ), mailing house ( US ): A company that personalises, labels, sorts and stuffs envelopes in preparation for mailing.
