The era of dedicated office buildings is over. More and more, companies are eliminating their cost of overhead — and this includes dedicated office space. The evolving model is virtual: employees work from home or commute to office space that has been rented from a virtual office provider. Distributed workforces wouldn’t be possible, of course, without modern technology like the Internet, which enables all forms of communication between people who are expected to work together without being together.

An important tool for distributed workforces is the online conference, which requires no more than a Web browser and an Internet-connected device like a smartphone, laptop, or desktop computer.
Web conferencing isn’t difficult to set up. Many services provide everything you need to make an online meeting easy to configure and intuitive to run. They also help you automate nearly every step of the process, including invitations, agenda management, and handout distribution. Beyond these functions, you get access to nearly any tool you’d need to assist with a discussion or presentation. These include not only a conference calling infrastructure, but also:

Multi-way video
Screen sharing
Collaborative authoring
Brainstorming whiteboards
Video and audio recording
Attendance tracking

The uses are many-fold. You can use such services to make a sales presentation to a customer on another continent, review project status with a large, distributed team, collect design input from colleagues in different countries, and conduct remote training.

It makes it possible to connect anyone, anywhere

It automates time-consuming processes like emailing invitations and following up, reducing barriers to communicating

It can help make meetings more productive and successful because the format helps streamline processes and avoid disruption

It enables the recording of meetings for those who were not able to attend

How it works
Most online meeting services — one of the most popular is GotoMeeting — provide a small application that runs in a Web browser. Simply start that application to set up or enter a meeting.
Since the names of meetings might conflict from company to company, each configured meeting is assigned a unique meeting code and an audio PIN. You can also create a password for the meeting to ensure sensitive information doesn’t become publicly available. To invite people to your meeting, you create a list of invitees. You can manually mail each invitee the meeting code and audio PIN, or you can ask the system to take care of that for you. A telephone number goes along for the ride for participants who don’t have a microphone connected to their computer. When a person joins the meeting, he or she can select whether to dial in or use a microphone. The system connects all callers with the shared audio stream for the meeting. If videocam support has been configured by the meeting moderator, participants can also decide to enable their videocams. This makes it possible to create an online video conference without much effort.

The preliminaries
Once you’ve joined the meeting, your online meeting application will tell you who’s already in the meeting. If the meeting moderator has not yet joined the meeting, you’ll probably be asked to wait. When the moderator joins, those who are waiting are then automatically connected as well. At this point, a greeting is necessary:

Hello everyone, Martin here.
Hi everyone, this is Sandra from Marketing.
Good morning everyone, this is Jason Robards. It looks like everyone is online now except Robert.
Let’s give him another few minutes before we begin.

Just because everyone is online doesn’t always mean it’s safe to start. It’s important to verify that everyone’s audio and video features are working properly:

Can everyone hear me? Please respond one by one as I call your name.
Can everyone see me?
OK, it looks like everyone is with us and we’re ready to begin, so let’s start.

Moderation control
One of the reasons online conferences are so efficient is because one person has all the control. This person, known as the moderator or presenter, controls what is shared on the screen for all to see. The presenter can also mute or unmute the audio and block the video to or from specific participants, and even throw people out of the meeting. Such features are rarely used, but knowing they are there somehow ensures participants adhere to standard meeting formalities, whereas in a meeting room they might tend to break the rules.
The screen sharing function is extremely powerful. The moderator can choose to share another participant’s screen with everyone instead of his or her own. This is extremely useful for side discussions and to provide examples. In a traditional meeting, such sharing wouldn’t be possible unless multiple copies had been made in advance on paper. The real benefit is that items under discussion can be discussed in real time. The possibilities are compelling. For example, a presenter can also choose to share mouse control on a shared screen, allowing another participant to have control of someone else’s computer. Sharing work and progress becomes very intuitive. Add to this features for drawing and highlighting on a layer that rests on top of a shared screen. These make live illustration, commentary, discussion, and brainstorming possible.

Tim, would you mind transferring control to me for a moment so I can share my screen with everyone?
Tim, could you give me mouse control for a moment so I can illustrate what I mean?
Tim, could you enable the drawing tools so I could add a bit to your picture?
